Corporate email signature with QR for teams
Outdated logos, distorted images, every employee with their own version. With Lead2Team you unify it all — and it works in Gmail, Outlook and Apple Mail.
Over 30,000 companies connect with Lead2Team every day

A corporate email signature is the block of details and branding that closes every message the company sends. In a team, the hard part is keeping all 40 or all 400 signatures identical and up to date, and that is solved by generating them from a dashboard instead of letting each person build their own.
When every employee copies and pastes their signature by hand, six months later the company has two versions of the logo in circulation, job titles that have already changed, and signatures that Outlook renders as an empty box. The client sees it in every email that arrives.

Every email is a point of contact with the outside world. A signature with an old logo, a broken image or wrong details projects an image that doesn't represent your company. Multiply that by thousands of sends per month.
What changes when the company manages the signature
The administrator picks the template, uploads the logo and sets the colours once. From then on they onboard people manually, by CSV or from the HRIS, and each signature comes out with that person's details: name, job title, phone number and the link to their digital business card. When someone changes role it is corrected in the dashboard and their signature follows.
What the signature can carry besides the name
- A QR code that opens that person's digital card, so whoever reads the email on their phone can save the contact with one scan. We cover it in full in the email signature with a digital card and QR.
- A banner with the campaign of the quarter, changed across every signature at once.
- The company's social icons and whatever notice your legal team asks for: we go into that in email signatures and GDPR compliance.
What a corporate email signature should carry
A company signature solves two things at once: whoever receives the email knows who they are talking to and can reply through whichever channel suits them, and the company looks the same across all 40 or 400 of the team's mailboxes. With that in mind, not much is needed:
- Name and job title. The job title is the detail that changes most often and the first to go stale when each person maintains their own signature by hand.
- Company and, where needed, department or brand. In groups with several brands, this is what stops the client wondering who they are dealing with.
- One phone number someone can actually call. One. Two numbers and a switchboard in the same signature is the fastest way to get no calls at all.
- The logo at the approved size and colour, not the version somebody downloaded from the website three years ago.
- A link that leads somewhere live: the website or that person's digital card, where the rest of their details and the save-contact button live.
- The legal notice your legal department asks for, where it applies.
What is surplus: heavy images that Outlook shows as an empty box, lines about the environment, motivational quotes and four social icons nobody taps. Every extra element takes attention away from the one that matters.
The signature with a QR code: how it works and why it should be dynamic
The QR code in the signature is an image that, when scanned, opens that person's digital card with their details and the save-contact button. It serves one very specific purpose: someone reading the email on a phone will not comfortably copy and paste a phone number, but they will point the camera and keep the contact in their address book.
What makes the difference is where the code points. A static QR carries the details written inside it, so the day that person changes role or phone number, the code already travelling in hundreds of sent emails keeps handing out the old detail and a new one has to be generated. A dynamic QR points to the address of their digital card, which does not change; what changes is the content of the card. Correct the job title in the dashboard and last week's emails already open the right version.
In a team the QR is not built one by one. The administrator switches it on in the template and each signature comes out with its own person's code, the same way it comes out with their name and job title.

How the signature reaches each person
Every employee gets a welcome email with their signature ready to paste into Gmail, Outlook or Apple Mail. They do not have to design anything or ask marketing for the logo. For large headcounts, the full path (who has it in place and who does not) is in how to unify the email signatures across a whole company.
